How to use these
Copy the template that matches the situation, swap the brackets for real details, and post it. Two minutes per review, tops.
Three rules before you start:
- Use their first name. It's the difference between a reply and a form letter.
- Name the actual job. "the water heater," "the panel upgrade," "the spring tune-up." Prospects skim responses, and specifics are the thing that proves you're a real business that remembers real jobs.
- Vary the wording. If you paste the identical response fifteen times in a row, anyone scrolling your profile sees it. Rotate between templates and change a few words each time.
One bonus: your responses are indexed text on your Google Business Profile, so naming the service and your city naturally (not stuffed) gives Google more to work with.
Respond within 24 to 48 hours, and reply to the good reviews too, not just the bad ones.
5-star reviews with a written comment (1 to 6)
1. Standard warm reply
Thanks so much, [Name]. Glad we could get the [job] taken care of for you. It was a pleasure working at your place, and we're here anytime you need us.
2. When they named the technician
[Name], thank you. I'll pass this along to [Tech] directly, he'll be glad to hear it. Glad the [job] went smoothly and thanks for trusting us with it.
3. Emergency or after-hours call
[Name], thanks for the kind words. Nobody wants a [burst pipe / dead furnace] at 10pm, so I'm glad we could get out there and get it handled. Call us anytime, day or night.
4. Repeat customer
[Name], we appreciate you more than you know. Thanks for coming back to us for the [job] and for taking the time to write this. See you at the next one.
5. Big install or replacement job
[Name], thank you. That [new system / repipe / roof] was a decent-sized project and you were great to work with throughout. Enjoy it, and give us a shout if anything ever needs attention.
6. They mentioned the price being fair
Thanks [Name]. Straight pricing with no surprises is something we work hard at, so it means a lot that you noticed. Glad the [job] worked out and thanks for having us.
Star-only reviews with no text (7 to 9)
These are easy to skip. Don't. A short reply keeps your response rate high and gives prospects one more piece of real information.
7. 5 stars, no comment
Thanks for the 5 stars, [Name]. Glad we could help with the [job]. Give us a call anytime.
8. 5 stars, no comment, no name shown
Thank you for the 5 stars. We appreciate you taking a second to leave it, and we're here whenever you need us.
9. 4 stars, no comment
Thanks for the 4 stars, [Name]. If there's something we could have done better on the [job], I'd honestly like to know. Feel free to reach me at [phone].
4-star reviews (10 to 13)
A four-star is a compliment with a note attached. Acknowledge the note.
10. Generic 4-star with positive text
Thanks [Name], glad the [job] went well. If there's anything that would have made it a five-star visit, I'd like to hear it, [phone]. We're always trying to close that last gap.
11. Happy with the work, unhappy with the wait
[Name], thanks for the review and for your patience. The scheduling delay is a fair hit, and we're working on tightening our windows. Glad the [job] itself came out right.
12. Happy with the work, thought the price was high
Thanks [Name]. Glad the [job] is sorted. I hear you on the price. Happy to walk you through exactly what went into the quote if that would help, just give me a call at [phone].
13. Small issue mentioned in passing
Appreciate it, [Name]. And thanks for flagging the [issue]. That's an easy fix on our end and I've already mentioned it to the crew. Glad the main job went well.
3-star reviews (14 to 16)
Three stars means something specific went wrong. This is your best chance to convert a lukewarm review into a good one, because the customer isn't angry, just unimpressed.
14. Mixed review, good work but a process problem
[Name], thanks for the honest review. Glad the [job] itself was solid, and you're right that the [scheduling / communication / cleanup] should have been better. That's the part we're working on. If you'd like to talk it through, I'm at [phone]. [Your name], owner.
15. Expectations didn't match reality
[Name], thanks for the feedback. It sounds like we didn't set expectations clearly enough on [the scope / the timeline / the cost], and that's on us. I'd like to hear the full version, please call me at [phone].
16. They liked the tech but not the company
[Name], I'm glad [Tech] took good care of you, and I'm sorry the rest of the experience didn't match. That's a management problem, not his. I'd like to fix it, [phone]. [Your name], owner.
1 and 2-star reviews (17 to 22)
Keep these to three or four sentences. Acknowledge, own it, offer a direct line, stop. Never argue the facts in public.
17. Price complaint
[Name], thanks for the honest feedback and I'm sorry the cost came in above what you expected. We should have confirmed any change with you in writing before starting the work. I've made that a requirement for the team. Please call me directly at [phone]. [Your name], owner.
18. Late, no-show, or missed window
[Name], you're right and I'm sorry. We gave you a window, missed it, and then didn't keep you updated, which made it worse. We've changed how dispatch handles running-late calls because of this. I'd like to make it up to you, [phone].
19. Rude or unprofessional technician
[Name], thank you for telling me. That's not how we speak to customers and I've addressed it directly with the technician. You shouldn't have had to deal with that in your own home. Please call me at [phone], I'd like to hear the whole story. [Your name], owner.
20. Work failed or needs a callback
[Name], I'm sorry the repair didn't hold. That's not the standard we work to, and we'll come back out and fix it at no charge to you. Call the office at [phone] and ask for me directly, we'll get you on the schedule today.
21. Mess or damage left behind
[Name], leaving your home worse than we found it isn't acceptable and I apologize. I've gone back over our cleanup process with the crew. If there's still anything needing attention, call me at [phone] and we'll come take care of it ourselves.
22. Angry review with no specifics
[Name], I'm sorry we let you down. I don't have enough detail here to know what went wrong and I genuinely want to. Would you call me at [phone]? I read every review that comes in and I'd like the chance to fix this. [Your name], owner.
Unfair, mistaken, or fake reviews (23 to 25)
Flag it with Google first (open the review, three dots, report). Google removes reviews that break their policies: fake or spam content, off-topic posts, conflicts of interest such as competitors and former employees, harassment, and hate speech. "It's inaccurate" alone is not grounds. Removals take time and often don't happen, so write your public reply assuming it stays up.
23. Not a customer / no record of them
We take every review seriously, but we don't have a record of a customer by this name or any service call at this address. If we've made a mistake, please call me at [phone] and I'll look into it personally today. [Your name], owner.
24. Wrong business (similar name)
[Name], I think this may have been meant for a different company. We don't show a service call matching this description in our records. If you did use us and I'm wrong, please call me at [phone] and I'll get to the bottom of it right away.
25. Review is about something outside your control
[Name], I understand the frustration and I wish it were different. The [permit fee / code requirement / manufacturer warranty term] is set by [the city / the manufacturer] and we pass it through at cost. That said, we should have explained it clearly before the job started, and I'm sorry we didn't. Happy to walk you through it, [phone].
Notice what's missing from all three: any accusation. Don't call it a fake review in public. Readers reach that conclusion on their own, and they believe it more when you stay calm.
After you've fixed it (26 to 27)
26. Following a resolved complaint
[Name], thanks for taking my call yesterday. Glad we got the [issue] sorted and the [return visit / refund / credit] handled. I appreciate you giving us the chance to make it right, and if anything else comes up, you have my number.
27. Asking for a review update (only after you've genuinely fixed it)
[Name], glad we could get this resolved for you. If you feel differently about us now, we'd be grateful if you'd consider updating your review. Totally your call either way, and thanks again for letting us make it right.
Template 27 works more often than people expect. A customer who was made whole will frequently revise a one-star. Ask once, never twice, and never tie the fix to the review.
A few habits that matter more than the wording
Respond to everything. Google's own guidance is that responding to reviews shows you value customers. A profile where the owner replies to all 200 reviews reads very differently from one with 200 reviews and silence.
Same-day on the bad ones, weekly batch on the good ones. Set a Friday morning slot and clear the five-star backlog in fifteen minutes.
Never reveal customer details. No addresses, no medical or financial details, no "you still owe us $400." It's a privacy problem and it makes you look vindictive.
Track the pattern, not the individual review. If three reviews in a month mention arrival windows, the problem isn't the reviews. Fix the dispatch process and the reviews follow.
